Departure Information


One Day Tours

You will receive a Departure Letter approximately 14 days prior to your trip day.
In that letter you will find a list of all passengers scheduled pick up points and pick up and drop off times.
Any changes or additions to our schedule will also be in the letter.
(If you need to make any changes this is the time to call us at: 1-616-754-5007.
Do not wait until the morning of departure.)

Multi-Day Tours

You will receive your Departure Information Packet which includes itinerary, baggage tag(s) and hotel list and list of fellow travelers and scheduled pick up points and times of pickups and drop offs, fourteen (14) days prior to departure.
In that letter you will find a list of all passengers scheduled pick up points and pick up and drop off times.
Any changes or additions to our schedule will also be noted in this packet.

Do not wait until the morning of departure.)

Pick Up Points

Definite pick up points and times will be set and sent out two weeks prior to both One Day and Multi-Day tours. Pick Up points will be determined once we have a complete passanger list to make it as convenient as possible for our clients. If you have questions or request about pick up points please call us at 1-616-754-5007.
We will do our best to make sure that you can leave your vehicle for the entire time we are away, however sometimes you may be asked to have someone drop you off and pick you up. Whenever you leave your vehicle at any of the pickup points please know that it is always at your own risk and that Flat River Tour Co LLC is not liable for any towing charges or damage to your vehicle.

Reservations and Payment


One Day Tours

Payment in full for at least one person in your party is due within 5 days of reserving your spot. All others need to be paid in full by the 14th day after Reservation. Passengers in your party who are unpaid after the 15th day will need to call to be reregistered after the 15th day.

Multi-Day Tours

The deposit amount required is listed on our flyers or our website and is due within two weeks of your reservation. The balance is due no later than the due date specified on your flyer. You will receive notification approximately two weeks before your balance is due if we have not received payment in full by then.

Payment Type

Sorry but at this time we cannot accept credit cards as payment.

Refund Policy


One Day Tours

Refunds will be made, minus any non-refundable charges i.e. theater tickets, meals and service fees) if reservation is cancelled at least 30 days prior to tour. Less than 30 days prior to tour there will be no refund unless a replacement can be found.
Should for any reason, at any time, the entire tour be cancelled all money will be totally refunded.

Multi-Day Tours

Specialized Information


Lodging Request

Most but not all rooms have two double beds. If you are in need of any other configuration please state your request on your registration card.
We cannot always guarantee smoking or nonsmoking rooms but if it is an issue please let us know on your reservation card.
If you are handicap or disabled and need special rooming requirements please call us and write it also on your reservation card.

Luggage

On most Multi-Day-Tours luggage handling is included for one large bag per person. This bag will be stored below the bus during travel days so please be sure not to put any medicine, toiletries or clothing that you may need from the time of departure to the first night of our Multiday Hotel. Each person should pack a small overnight bag which will be taken off the Coach nightly on travel days. This bag can be stored below in a special compartment but you will be responsible for taking it to your room. If you chose to store it below you will not have access to it only when you reach the overnight hotel, so make sure you bring all medicines, a jacket or sweater, snacks, reading material etc. in another smaller bag that will fit in the overhead of the bus while traveling.
If you have a physical problem and are unable to get even the small bag to your room please see either Gene or Carol to work out a solution.

Snacks and Water

Snacks and Water are allowed on the bus at all times.
If you wish to bring a snack to share please feel free to do so, but don't feel that you have to.
We will try to have a limited amount of bottled water on the Coach. However on a full bus, very hot day, or extended day trip, this may not always be possible. It is advised that you bring a small water bottle with you that you can refill, or that you purchase water at the hotel before boarding the bus daily.

Seat Assignment

Most trips there will not be a seat rotation but if you wish to sit with another couple, or group, or you have a special need for being near the front, back, etc. please let us know when you send in your reservation. We will try to reserve a seat or seats so you are comfortable. (But please let us know before that morning.) Call 1-616-754-5007.
We will have several ways of disembarking at all stops so everyone will have a chance to get off first, last or somewhere in the middle. (Anyone having a special need to get on or off first or last every time please let us know.)

Medical Equipment or Special Needs

If you need to use a walker or wheel chair please make note on your registration card and let us know personally. Persons in a wheel chair will need someone with them to push them if you need additional help.
If you have equipment such as breathing machines or oxygen please notify us ahead of time so we can make space for it.

Foreign Countries

At all times a passport, passport card, or an enhanced driver's license will be requried to travel (by land) into Canada or Mexico. You will need a passport if traveling by air or water into Canada or Mexico. We will be asking to see all passports material as you board the bus on the first day of any Foreign Country trips so please carry it with you and do not pack it in your luggage.
You are always responsible for your own ID material and if we should be held up at a border because of improper ID material, we may not be able to wait for you and you will be responsible to find your own transportation home.
